GDPR Incident Investigation

Setup: You can configure alarm events to remind users of incidents which still require checking for any personal data contained within. For information, contact your system administrator.

Click the reminder alarm event in the Events tab.

The GDPR Incident Investigation menu displays.

The system filters its incident database for ones that are yet to be checked for any personal data.

Click Filter Setup to search for manually entered key phrases.

Click Next.

In the Key Phrases text field, enter the words or phrases to be searched for within the stipulated data.

Enter text strings to be searched for; for example, names and descriptions.

Each discrete word or phrase must be separated by a line break (new line inserted using the Enter/Return key).

Asterisks can be used as a wildcard character to denote that the search results must include cases where the specified word or phrase is part of other or longer words/ phrases (wildcard character is placement-sensitive).

Examples:

A keyword of:

*son

would yield search results such as:

Miranda Richardson; arson

A keyword of:

son*

would yield search results such as:

Stephen Sondheim; son of John Smith

Regular expressions (also known as "regex" or "rational expressions") are also supported for highly specific or complex filtering.

Once you have entered all required search terms, click Next.

Alternatively, if you have selected the Automatic Name Detection checkbox:

Click Next.

The system performs the search and presents its results.

For Natural Language Processing search results:

Click the hyperlink in the Id column for an incident in the search results.

Click Clear Key Words to redact the identified personal data from the selected incident

Click Save, then Yes to confirm that this incident has now been investigated for personal data.

You can also click Filter Setup in the bottom-left corner of the GDPR Incident Investigation report tab to re-run the GDPR Search Tool configurator.

You can filter, save and output the report results in different formats as standard.
